“9 AM local” is not a fixed UTC hour. In New York, 9 AM was 13:00 UTC on Oct 30 and 14:00 UTC on Nov 2. For AI-assisted reminders, keep the named time zone and verify saved run times across clock changes—not just the proposed timestamp.

“12” is not a complete business fact. Twelve items, feet and hours mean different things. In an AI workflow, carry the unit with the quantity, preserve the source value and flag missing units before a number reaches a quote.

AI adoption data can suggest a task to test; it cannot prove your ROI. OpenAI’s new work-activity release covers individual ChatGPT plans, not enterprise messages or Codex. Validate a bounded workflow locally. openai.com/index/chatgpt-exp…

An AI workflow’s completion rate can hide its oldest unfinished request. Track backlog age, blocker and next owner alongside tasks completed. A retry should not reset the arrival time and make old work look new.

A citation is a pointer, not a quality certificate. Before an AI answer becomes a business action, check the source’s owner, effective date and scope. An accurate quote from an expired policy can still lead to the wrong decision.

An identifier is not a quantity. Converting "00127" to a number and back produces "127". In an AI intake workflow, preserve IDs as text and compare them with the source after import—not just after extraction.

An AI workflow has a data lifecycle, not just an input and output. Separate approved business records from temporary working files. Define retention rules, honor required holds, and test cleanup on synthetic data before touching real records.

An AI workflow needs a backup operator, not just a builder. Write down what a normal run looks like, when to pause, where unfinished work lives, and who can restart it. Test the handover with a fictional case before relying on it.

A retry is a new action, not proof the first one failed. Before an AI workflow repeats a CRM update or customer notification, check the destination for the original result. A timeout should trigger verification—not duplicate work.
4
Before expanding an AI workflow, review the last completed task: what source did it use, what was missing, who approved it, and where was the result saved? The next improvement is usually hiding in that review friction.

Before giving an AI workflow more autonomy, write the “do not guess” list. Missing fields, prices, customer intent, source-of-truth conflicts. Boundaries make automation safer.
4
A good AI pilot does not just ask “Did it finish the task?” It asks: what did it use, what was missing, who reviewed it, and did the business outcome improve?
4
AI pilots need a rollback plan before they need more autonomy. If the workflow cannot show what changed, who approved it, and how to undo it, the next step is better operating control, not a bigger task list.
1
If an AI workflow cannot show what it read, what it changed, and who approved the final step, it is not ready for more autonomy. Observability comes before authority.
3
Before automating a process, write the exception list. Missing fields, unclear owners, approval gates, rollback steps. That list is usually where the real workflow lives.
8
Before connecting AI to your CRM, answer one question: which system owns the truth? Two tools updating the same customer record without clear rules can create more cleanup than capacity.
9
An AI Employee needs an escalation path, not just a task list. Define what it may do, what needs approval, and when a person takes over. Reliability starts with clear responsibility.
